Service Terms / Work Authorization Policy
Dog Will Hunt Armaments LLC (“Dog Will Hunt,” “we,” “us,” or “our”) uses a documented intake, quoting, authorization, and quality-control process for gunsmithing, repair, cleaning, coating, custom build, transfer-related, and related shop services.
These Service Terms / Work Authorization Policy are intended to explain how the shop handles service requests, quotes, approvals, work execution, pickup, and related records. This page should be reviewed by legal counsel before publication.
1. Scope of Services
We may provide services including firearm inspection, cleaning, maintenance, repair, fitting, upgrades, optic mounting, threading, Cerakote-related work, custom builds, diagnostic work, transfer-related support, appraisal-related handling, and other shop services offered by Dog Will Hunt.
Service availability may vary depending on the platform, requested work, parts availability, safety considerations, legal requirements, and shop workload.
2. Intake and Job Records
Each firearm accepted for service is tied to an intake record. Customers may be required to provide full legal identification and current contact information before work proceeds.
Intake records may include firearm make, model, caliber, serial number, action type, installed accessories, visible condition, photographs, and a unique Job Number used throughout the shop’s workflow.
Multiple firearms from the same customer may be logged as separate jobs so each item remains independently trackable.
3. Evaluation and Quoting
Before quoting, the shop may perform a structured evaluation that can include visible condition, bore inspection, mechanical function where safe to test, trigger feel, locking surfaces, headspace where applicable, and compatibility of aftermarket parts.
Quotes may include labor, projected hours, parts, shop supplies, test-fire charges, target turnaround time, and any warranty limitations applicable to the job.
Quotes are intended to describe the approved scope of work based on the condition and information available at the time of evaluation.
4. Work Authorization Required
No work begins without customer approval of the quoted work.
Where required by the shop, work must be supported by a signed work authorization before bench work begins. The signed authorization confirms the customer’s approval of the work scope, expected charges, and any disclosed limitations or risks.
5. Deposits and Special Orders
Deposits may be required for custom builds, special-order parts, high-value projects, or other jobs that commit shop time or ordered components before completion.
When used, deposits are generally applied to the approved job and may reflect part of the parts cost and a reasonable portion of labor reserved for the work.
6. Changes in Scope
If additional issues, compatibility concerns, safety concerns, worn components, tolerance stacking, or other problems are identified after intake or disassembly, the shop may pause the job and contact the customer with updated recommendations.
Additional work outside the original authorization should not proceed until the revised scope is approved.
7. Bench Standards and Parts Handling
Active jobs are handled using organized parts control, labeled trays or bins, job-number-based tracking, and platform-specific checklists where applicable.
Removed parts may be bagged and labeled to reduce mix-ups and preserve traceability during the job.
If a job must pause while waiting on parts or approval, the firearm may be moved to a clearly identified hold area and the job status may be updated in the shop record.
8. Test Fire and Quality Control
When appropriate for the platform and approved scope of work, the shop may conduct mechanical function checks, test fire, zero verification, fastener re-checks, or related quality-control steps before the firearm is cleared for pickup.
Quality-control procedures may be documented as part of the job record.
9. Customer Pickup and Release
Before release, the customer’s identity may be verified against the intake record, and any required paperwork may need to be completed and filed.
At pickup, the shop may walk the customer through the work performed, replaced parts when applicable, observed issues, break-in guidance, recommended ammunition, or maintenance intervals.
Final payment is due before release unless a different arrangement has been clearly documented by the shop.
10. Returned Parts
Replaced parts that belong to the customer may be returned bagged and labeled when applicable.
The shop may retain replaced parts where required by law, safety considerations, warranty handling, or documented customer instructions.
11. Turnaround Estimates
Any turnaround time provided by the shop is an estimate, not a guaranteed completion date.
Completion timing may change based on parts availability, vendor delays, additional issues discovered during work, workload, compliance requirements, customer response time, or other factors outside the shop’s direct control.
12. Warranty Limitations and Customer-Supplied Parts
Any warranty limitation disclosed in the quote, invoice, or work authorization applies to the job as approved.
When customers provide their own parts, the shop may evaluate fit and compatibility, but the shop does not guarantee the quality, authenticity, or suitability of customer-supplied components that it did not manufacture or source.
The shop may decline installation or continued use of parts that appear unsafe, defective, damaged, incompatible, or otherwise unsuitable for the job.
13. Safety and Legal Compliance
The shop follows safety and compliance procedures as part of intake, bench work, testing, storage, and release. Firearms are handled under the assumption that they are loaded until personally cleared.
Services are subject to applicable laws, ATF recordkeeping requirements, and any other legal or compliance obligations tied to the firearm, part, transfer status, or requested work.
14. Storage, Security, and Records
Firearms, physical paperwork, digital records, photographs, and related shop documents may be stored in secure physical or digital systems tied to the job number and customer file.
Records may be retained according to legal requirements and shop record-retention practices.
15. Customer Communication
The shop aims to use clear, itemized, and professional communication in quotes, invoices, and service updates.
Customers are encouraged to review the approved work scope, ask questions before authorizing work, and contact the shop if clarification is needed during the process.
